The cleanliness of an office does not depend solely on how thoroughly it was cleaned during the last visit. The difference becomes visible over time. With the right organization, the office remains well maintained every day, and dirt is not allowed to build up until it can no longer go unnoticed.
Regular office cleaning is not a series of separate visits, but consistent work tailored to the way each site is used. At iCare, we follow clear principles that help us organize the work and monitor the quality of the service over time.

Organzation begins with understanding the site
Before preparing the schedule, we need to understand how the specific office is used. Its size alone is not enough to determine the level of maintenance it requires. Two offices with the same floor area can have completely different levels of activity. In one, part of the team may work remotely, while the other may have employees on-site and external visitors every day.
This is why we offer a free initial site visit for commercial buildings. During the visit, we learn about the layout of the premises and how the working day usually runs. This allows us to determine the most suitable time for cleaning without disrupting employees. We also consider the types of flooring and surfaces, as they determine which products and methods can be used safely.
Based on this information, we determine the necessary tasks and how often they should be carried out. This means the schedule is created around the actual needs of the office rather than copied from another site simply because it has a similar floor area.
The schedule should follow the rhythm of the office
The schedule does not only determine which days the site will be visited. It is important for the work to be carried out at a suitable time without inconveniencing the people who use the office. In some offices, cleaning is organized before employees arrive, while in others it begins after the working day has ended. Busier offices may also require cleaning staff to be present during the day so that cleanliness can be maintained without waiting for the next full cleaning visit.
For this reason, we take into account the hours when the office is used most actively, as well as the client’s preferences. The aim is to complete the necessary tasks on time without the cleaning itself becoming an obstacle to the normal working process.

The frequency is determined by the actual level of activity
Not all areas of an office become dirty at the same rate. This is easy to notice around the entrance. In dry weather, the usual maintenance may be sufficient, but when it rains, marks and dirt build up on the flooring much more quickly. If the cleaner continues to follow the schedule rigidly without considering the condition of the site, the office may already look poorly maintained at the start of the day.
For this reason, we determine the frequency according to how each part of the office is used and adjust it when the level of activity requires it. This prevents time from being spent on repeating tasks that are not actually needed, while attention remains focused on the visible result.
How do we track completed work?
A well-prepared schedule shows what needs to be done, but it is not enough on its own to guarantee quality. This is why we use tablets with dedicated software at our sites, allowing employees to record when they start and finish work. Before-and-after photos are added to the completed tasks, showing the initial condition of the relevant area and the result after cleaning.
The information from the system is supported by daily visits from our cleaning quality control managers. They inspect the results on-site and provide employees with specific guidance when they identify an issue. An additional inspection is also carried out whenever a problem is reported, without waiting for the next scheduled visit.
The tablets give us a clearer picture of how the work is progressing, while the on-site inspections show whether the quality achieved meets expectations. Combining the two allows us to respond promptly instead of discovering problems only after they have accumulated.

Why feedback is important to us
We encourage our clients to share what they notice and tell us if there is anything we can improve. When we receive feedback, we do not simply leave it as a note for the team. The cleaning quality control manager looks into the cause and determines what changes are needed.
We then monitor whether the change has actually resolved the issue. This means our approach does not remain fixed after the start of the contract but continues to develop according to the client’s actual needs.
Consistent quality requires ongoing work
With regular office cleaning, good results should not be visible only on certain days. The office should remain well maintained at all times, and any issues that arise should be addressed promptly.
Every site is different, and our work does not end once the initial schedule has been prepared. We monitor how tasks are carried out, inspect the results on-site and listen to the client’s feedback. When a change is needed, we make it according to the situation in the specific office.
